For real estate agencies

Showings run on keys. Keep them moving.

Agents criss-cross town between showings, passing property keys from one to the next. KeyDocket records every hop, so the office always knows who holds which property's keys and when the next showing needs them back.

The problem

Two agents booked showings at the same house an hour apart. The first kept the keys “just in case”; nobody realised until the second agent was standing at the door. A listing goes live tomorrow and nobody remembers who borrowed the set last month.

How KeyDocket helps

  • Showings: an agent checks a set out with a purpose (“showing 3:30pm”) and a due-back time, so the next booking can be scheduled around it.
  • Agents sharing keys: a handover request passes the set directly between agents — the sender stays the recorded holder until the recipient accepts on their phone.
  • Returns before the next appointment: returns are logged with a location, and overdue sets are flagged, so the office can chase the one set that matters before the next showing.

A Saturday with KeyDocket

9am: Dana checks out KR-042 (Alder Court) for an 11am viewing, due back at 2. Noon: she hands it to Ravi for his 3pm — handover requested and accepted from the car park. 2pm: the office sees Ravi holds it, not Dana, and the 5pm booking is covered. Monday: the set is back in the key cabinet and the return is on the record.

This is fictional sample data.

Questions agencies ask

Can two sets for one property stay together?

Yes — a key set records how many keys are on the ring, so front and back door keys travel as one set with one label.

Can we see an agent's current keys at a glance?

Yes. The register filters by holder, so you can see every set an agent currently holds and when each is due back.

Does scanning a label prove the agent still has the keys?

No. A scan opens the authorised record — who is recorded as holder. KeyDocket records custody, not physical possession.

A viewing day, recorded

Fictional example.

  • 9am: a negotiator checks out the listing keys with the purpose “viewings”, due back 6pm.
  • 1pm: a colleague takes over the afternoon viewings; the handover is accepted on their phone.
  • 5:40pm: the keys are returned to their hook and the return is recorded.
