Using KeyDocket
How-tos for everything the product does today. If a feature isn't documented here, it doesn't exist yet — we won't write guides for things we haven't built.
Adding and importing key sets
+How do I add a key set?
In your workspace, open the Register and use “Add key set”. Give it a short number (KR-042 style), link a property, and note how many keys are on the ring and where it's stored.
+Can I import our existing list?
Yes — the Import page accepts a CSV with columns for key number, property, unit, area, client, keys on ring, storage location and notes. Import a three-row test file first to check the mapping, then run the full list. Import respects your plan's active key-set limit.
Printing labels
+How do I print QR labels?
Open Labels, choose the sets to label, and pick your paper size (Letter or A4). The layout targets standard Avery or comparable label sheets — check your sheet's product code against the template before printing a full page.
+The label print doesn't line up with my sheet.
Use your browser's print dialog and make sure scaling is set to 100% (not “fit to page”), then print a single test page before running a full sheet.
Scanning and signing in
+What happens when someone scans a key label?
The QR code opens that key set's record — holder, purpose, due-back date and history. The person must be signed in to your workspace; the lookup is private and authorised, not a public page.
+Does scanning tell you where the keys are?
No. A QR code is a printed label with no electronics. It can't detect movement or report location — it opens the record that shows who is responsible for the set.
Colleagues, roles and custody
+How do I invite a colleague?
Team → Invite. You'll choose their role (owner, manager or staff). The invite link is tied to their email address and expires after seven days.
+What can each role do?
Staff check keys out to themselves and record returns. Managers can additionally issue keys to others, resolve custody questions and change deadlines. Owners manage the workspace, team and billing.
+How does a handover work?
The current holder requests a handover to a named colleague. They remain the recorded holder until the recipient accepts — so responsibility never sits in between. The due-back deadline carries across unchanged.
+A key set is missing. Now what?
Mark it missing from its record, with a reason. When it turns up, resolve the missing status and note where it was found — the history keeps both events.
Billing and cancellation
+How does billing work?
Billing belongs to the workspace and is managed by the owner under Billing. Plans are monthly, per workspace, with unlimited team members. See the pricing page for plan details.
+What happens when we cancel?
You keep access until the end of the paid period. After that, viewing records, exports, returns and cancelling outstanding handovers still work; new check-outs, handover requests and key sets pause. Nothing is deleted.
